How we look after information about you and your child.
Who we are
Autism EOTAS is a service of The Autism Mentors Ltd, registered in England and Wales, company no. 14962129. We're registered with the Information Commissioner's Office, registration no. ZB568339. For anything about your data, email [email protected] or call 0345 548 0876.
What we collect
- Contact details for you and, where relevant, your caseworker
- Your child's EHCP, and reports from the professionals who support them
- Session notes, progress reports and annual review contributions
- Your child's views, gathered in whatever way suits them
Some of this is sensitive information about your child's needs and health, so we handle it with extra care.
Why we use it
To deliver the mentoring or coordination you or your local authority have asked for, to report on progress, and to keep your child safe. We use sensitive information with your consent, or where the law allows it to protect a young person's safety.
Who we share it with
Only the people who need it: the professionals in your child's package, your local authority and, where relevant, their school. We share information without consent only if we're worried about a young person's safety. We never sell your data or use it for marketing.
When you ask for a call
When you use the form on our request page, we receive your name, email address, phone number if you give one, and anything you choose to tell us about your child. The form sends this to us as an email through Resend, a company that delivers email on our behalf under contract. Resend is based in the United States and keeps a copy for 30 days, with legal safeguards in place for the transfer. We use these details only to arrange the call. If you do not go on to work with us, we delete them within 6 months.
Keeping it safe
We store records in Google Workspace, a secure cloud system protected by encryption and two-step sign-in, and only our team can access them. Google handles the data on our behalf under contract, following UK data protection law. Some data may be stored outside the UK, with legal safeguards in place. We keep records for 6 years after our work ends, or longer for safeguarding records where the law requires, then delete them securely.
Your rights
You can ask to see the information we hold, have it corrected, or have it deleted where the law allows. If you're unhappy with how we've handled your data, please tell us first. You can also complain to the Information Commissioner's Office at ico.org.uk.
Cookies
This website doesn't use cookies. Our visitor statistics are anonymous and don't track you.
For young people
We keep notes about our sessions so we can help you properly. We only share them with the people who support you, like your parents and your caseworker. If we're worried you might not be safe, we might have to tell someone, but we'll usually talk to you first. You can ask to see what we've written about you.
